Refund Policy
Memberships
The Association of Aquatic Professionals does not provide refunds for memberships. Memberships are non-transferable and remain active until the end of the term. Membership grants access to exclusive resources and discounts.
Conference Registrations
Conference registration cancellations must be received in writing. Full refunds, minus a processing fee, are available until 60 days prior to the event. After that deadline, registrations may be transferred to another individual but are no longer refundable.
Digital Products
All sales of digital products, including educational downloads and online course access, are final and non-refundable. Please ensure your system meets requirements before purchase.
Nonrefundable Nature
Due to the immediate access provided for digital materials and the administrative commitments of memberships and event planning, the Association maintains a strict non-refundable policy except where explicitly stated for conference registrations within the specified window.

Digital Products Fulfillment and Shipping Policy

Article/Blog Submission Policy
The Association of Aquatic Professionals strives to provide both shared and original content that promote the mission, vision and values of AOAP. Contributors are invited to share their ideas, and, in turn, will be recognized as the contributing author within the blog, in the weekly newsletter, and on AOAP’s social media.

AOAP welcomes submissions on topics related specifically to our members and audience. This could include aquatic facility operations, programming, leadership, staff development, marketing, business operations, Model Aquatic Health Code and more.

Topics should be educational in nature. Submissions which could be viewed as a “sales pitch” for a specific product or service or that speak negatively about other products or services will be returned for revision or rejected.

Please submit original, stand-alone pieces. Even if your submission is part of a larger series or a summary of research, each blog should also make sense as it’s own piece.
Length & Format:

Provide a title of no more than five to seven words. Consider adding a number (5 Tips to Improve Staff Retention) or power words such as proven, safe, free, inspiring, fun, elite, unforgettable, etc.

An ideal length is 600 - 1200 words. Staff will gladly help edit or proofread if needed!

We encourage authors to use section headers in bold font to break up the text and guide the reader.

Submitting two - four links within the article is a great way to help SEO. It could be a link to a product, a website, etc.

Submissions should be sent as Word document or link to a Google Doc. PDF submissions will not be accepted.

If possible, please include 1 - 2 high-quality images. These may be images that you have personally taken or that you have the rights to. If you include staff or program participants, please verify that you have photo release forms on all subjects. Please include the approximate date taken and a brief caption. These images can be included with your text submission but should also be sent separately as PNG, JPEG or SVG files.

Include a headshot and brief bio (2-3 sentences max) along with your job title and email when you submit the blog post.

We will occasionally share quotes from posts on social media; please include your social media handles, and we’ll tag you as we can!
Submission & Revision

Submit your blog to kirsten@aquaticpros.org as a Word document or a link to a Google document. Include images separately.

Our team will review your submission. Please expect a response within 7-10 working days regarding the next steps.

If the editors choose to move forward, editorial feedback may be given to enhance readability and accessibility. If substantive changes are made, the editors will send the author(s) a final version to review prior to online publication.

Editors will also let you know when your blog will be published. AOAP will include your submission in the AOAP Weekly and promote on social media where possible.

This information is used to manage memberships, provide services, and communicate organizational updates. We do not sell or share your personal data with third parties for marketing purposes. We implement industry-standard security measures to protect your information of unauthorized access.
Privacy of Learner Records

This policy applies to all live and asynchronous continuing education/training (CE/T) programs offered by the Association of Aquatic Professionals as well as to all staff, contractors and subject matter experts who have access to learner records through systems such as LearnUpon, PheedLoop and AOAP’s shared drive.

AOAP follows the organization’s IT Privacy Policy to govern the collection, use, storage, and sharing of learner records.

Learner records will only be accessed by authorized staff members for legitimate business or accreditation purposes.

Records will not be shared with third parties without the learner’s consent, unless required by law.

All digital records are stored on secure platforms that require user authentication and follow data security best practices.

Physical or printed records (if any) will be stored in locked or access-controlled areas.

Training records are retained in accordance with the organization’s record retention policy and securely disposed of when no longer required.

Complaint Policy
Purpose: To provide a structured process for addressing and resolving complaints from members, learners, or partners.
- Complaints must be submitted in writing to info@aquaticpros.org.
- All complaints will be acknowledged within 5 business days.
- An investigation will be conducted by relevant department heads.
- Final decisions will be communicated to the complainant within 30 days.
- If unsatisfied, the complainant may request a secondary review by the Board.
- All records of complaints and resolutions will be kept on file for organizational improvement.
Anti-Discrimination Policy
AOAP is committed to providing work and learning environments free of sexual or any form of unlawful harassment or discrimination.
Harassment or unlawful discrimination against individuals on the basis of race, religion, creed, color, national origin, sex, sexual orientation, gender identity, age, ancestry, physical or mental disability, medical condition including medical characteristics, marital status or any other classification protected by local, state or federal laws is illegal and prohibited by AOAP policy.

Proprietary Interest Policy
AOAP policy requires instructors to disclose any vested interest in any product, instrument, device, or material that may be used in the learning event.
Further, instructors who receive a share of the royalties or profits from product promotion or endorsement must disclose this interest to the learner.

Frequently Asked Questions on Policies
Can I get a refund on my AOAP membership?
AOAP memberships are non-refundable and non-transferable. For any questions or specific status inquiries, please contact our team at info@aquaticpros.org.
Can I transfer my conference registration to someone else?
Yes. While registrations are non-refundable, they are transferable. Please note that member-rate registrations require the replacement attendee to be a current member; otherwise, a $100 non-member fee will apply.
Do you offer refunds on digital products or online courses?
All digital products and online course enrollments are final sale and non-refundable. If you encounter any issues accessing your purchased materials, please reach out to us at info@aquaticpros.org.
How do I submit an article or blog to AOAP?
Submissions must be purely educational and non-promotional. Each article is reviewed by our committee, and AOAP reserves the right to decline any submission that does not meet our organizational standards or mission.
How can I file a complaint or report a concern?
All complaints must be submitted in writing via our website contact form or email to info@aquaticpros.org. We will acknowledge receipt of your concern within 5 business days.
